Late, Cancellation, and Refund

At North Wind Mahjong, our games rely on the spirit of community and the cooperation of every player. Because Mahjong is a game of four, your presence is the "key tile" that allows the table to play. To ensure a smooth experience for everyone, we have established the following guidelines:

1. The "Fourth Player" Clause

Mahjong is unique in that it is best played with four players. When one person cancels at the last minute, it doesn’t just affect North Wind Mahj Society; it prevents three other guests from having the best possible experience. We ask that you treat your registration as a commitment to your fellow players.

2. Late Policy: "Respect the Clock"

Because it’s harder to start a game without all four players seated, punctuality is essential.

  • The Grace Period: We ask all players to arrive 10 minutes early to settle in. We offer a 15-minute grace period from the scheduled start time for unexpected delays.

  • Seat Forfeiture: If a player is more than 15 minutes late without prior notice, the seat is forfeited without a refund.

  • Communication: If you are running late, please communicate with North Wind Mahj as quickly as possible.

  • Emergency Discretion: We know that true emergencies happen on the way to a game. North Wind Mahj reserves the right to offer exceptions to the forfeiture rule for extenuating circumstances on a case-by-case basis.

3. Payment & Deadlines

To secure your seat at the table:

  • 7-Day Rule: All registration fees must be paid in full at least 7 days before the event.

  • Forfeiture: If payment is not received by this deadline, your seat will be forfeited and offered to the next person on the waiting list. We will contact you via text or email before removing you from the event.

4. Cancellations & Refunds

We understand that life happens. If you need to withdraw, our refund structure is as follows:

  • 7+ Days Notice: Full refund (minus a $5 processing fee).

  • 2–6 Days Notice: 100% credit to be used for a future session of equal value. If you choose an event of greater price, you will be responsible for paying the difference.

  • Less than 24 Hours / No-Show: No refund or credit can be issued, as it becomes significantly harder to fill the seat, affecting other guests’ experience.

  • Discretionary Exceptions: We understand that emergencies happen. North Wind Mahjong reserves the right to offer refunds or credits for extenuating circumstances on a case-by-case basis. 

5. The Substitution Rule

If you find yourself unable to attend at the last minute, you are welcome to transfer your seat to another player.

  • You must notify North Wind Mahj Society of the substitute's name, phone number, and email at least 4 hours before the game.

  • If you provide a substitute, no cancellation fees will apply, and you can settle the payment privately with your replacement.

6. Processing Fees

Please note that all refunds issued to your original payment method are subject to a $5 processing fee. This covers the non-refundable costs charged by our payment processors and helps keep our business running.
